Overview

At Ghimnaxxchroxxen, we are committed to providing valuable emotional intelligence training programs. This Return Policy outlines our refund, return, and cancellation procedures for our services. Our practices comply with the Consumer Guarantees Act 1993 (New Zealand) where applicable.

Return Period

Eligibility for a refund depends on when you cancel relative to the program start date:

  • More than 14 days before start: full refund minus an administrative fee
  • 7 to 14 days before start: partial refund as set out in our cancellation terms
  • Less than 7 days before start: generally no refund; we may consider exceptional circumstances

We provide services rather than physical goods; "return" in this context means cancellation and refund as described in this policy.

Return Conditions

To be eligible for a refund you must:

  • Cancel within the timeframes set out in the Return Period section
  • Contact us via email or phone and provide your registration details and reason for cancellation
  • Not have already received or accessed non-refundable digital materials (see Non-returnable items)

Exceptions may apply in exceptional circumstances (e.g. serious illness, family emergency); contact us to discuss.

Cost of Return Delivery

Our programs are delivered as services (sessions and digital materials). There is no physical product to return, so return shipping costs do not apply. If in the future we supply any physical goods and you are entitled to a return under this policy or the Consumer Guarantees Act, we will inform you at that time whether you or we bear the cost of return delivery.

Order Cancellation Policy

You may cancel your registration (order) for a program as follows. We may also cancel or change programs as set out in the section "Program Changes or Cancellation by Ghimnaxxchroxxen".

Cancellation by Participant

More Than 14 Days Before Start Date

If you cancel your registration more than 14 days before the program start date, you will receive a full refund minus a small administrative fee. The administrative fee covers processing costs and is clearly communicated at the time of registration.

7 to 14 Days Before Start Date

Cancellations made between 7 and 14 days before the program start date are eligible for a partial refund. You will receive a refund of the program fee minus an administrative fee and a percentage to cover preparation costs already incurred.

Less Than 7 Days Before Start Date

Cancellations made less than 7 days before the program start date are generally not eligible for a refund. However, we understand that unexpected circumstances arise and will consider requests on a case-by-case basis.

Program Changes or Cancellation by Ghimnaxxchroxxen

If we need to cancel or make significant changes to a program:

  • We will notify you as soon as possible
  • You will be offered the choice of transferring to another suitable program or receiving a full refund
  • If the alternative program has a lower fee, we will refund the difference
  • If you choose an alternative program with a higher fee, you will only pay the difference

Transfer to Another Session

If you are unable to attend your registered session, you may request to transfer to a future session, subject to availability. Transfer requests must be made at least 7 days before your original session start date. One transfer per registration is permitted at no additional charge.

Withdrawal After Program Starts

Once a program has begun, refunds are not typically available. We understand that circumstances can change, and we encourage you to discuss your situation with us. In exceptional cases, we may offer a partial credit toward a future program.

Non-Attendance

Failure to attend sessions without prior notice does not entitle you to a refund. If you know you will miss a session, please inform us as soon as possible. Depending on the program structure, we may be able to provide session materials or arrange a make-up option.

Exceptional Circumstances

We recognize that serious illness, family emergencies, or other exceptional circumstances may prevent participation. In such cases, please contact us to discuss possible options, which may include transferring to a later program or providing a credit for future use.

Return Process

To request a refund or cancellation, follow the steps below. This process also applies where a "return" is handled as a cancellation and refund.

  • Contact us via email or phone with your registration details
  • Provide your reason for cancellation or return
  • We will review your request and respond within three business days
  • If approved, we will process the refund as set out in Refund Procedure

Refund Procedure

Approved refunds will be paid to the original payment method within 14 business days. The amount refunded will depend on the cancellation timeframe and any applicable fees as set out in this policy. If you have not received the refund within that period, please contact us.

Non-returnable Items

The following are not eligible for refund once provided or accessed:

  • Digital materials or resources that you have already accessed or downloaded
  • Sessions or parts of the program that have already been delivered or attended
  • Any fees explicitly stated as non-refundable at the time of registration

If you cancel before accessing digital materials, they will be included in the refund calculation where applicable.

General Legal Requirements

This policy is intended to be read in line with New Zealand consumer law. Where you are a "consumer" under the Consumer Guarantees Act 1993, you may have rights that cannot be excluded or limited by contract (for example, where services do not meet guarantees of acceptable quality or fitness for purpose). Nothing in this Return Policy is intended to limit those statutory rights. If you believe our services have not met a consumer guarantee, please contact us so we can discuss your options.
